Job overview

The postholder is required to provide a comprehensive secretarial and administrative support for the Claims Office in respect of the management of all Claims, Coroner's Inquests and Non-Clinical Insurance matters.

The post holder will be based at Queens Medical Centre Campus.

KEY JOB RESPONSIBILITIES
Claims

  • To produce correspondence, reports and other documents of often highly emotive and sensitive information to both internal and external people and organisations by word processing and/or audio typing.
  • To implement systems to create and maintain manual and electronic files for claims utilising the Datix Claims Management Software.
  • To compose standard letters.
  • To utilise electronic administration systems to monitor the location of medical records, x-rays and other relevant documentation to obtain medical records, radiology, complaint files, incident report forms and other relevant documentation.
  • To photocopy and scan confidential documents in respect of all claims and inquests.
  • To verify the accuracy of copy patient medical records against original records in preparation for disclosure to solicitors.
  • To maintain the Datix Claims Management System, including the inputting of new claims and inquest related information.

Main duties of the job

Office

  • To provide telephone cover within the Claims Office dealing with general enquiries and taking messages, including the provision of advice or information within capabilities and keeping an accurate record of the discussion.
  • To prioritise workload to ensure deadlines are met and work is completed in line with statutory requirements.
  • To liaise with the Finance Department for the payment of invoices received in the Claims Office.
  • To liaise with internal and external individuals, pursuing information and responses to requests for information in connection with all claims and inquests.
  • To maintain the Archiving System in respect of closed claim files to ensure these are retained in accordance with Department of Health guidance.
  • To organise and plan meetings.
  • To maintain the Claims Office electronic calendars.
  • To receive visitors to the Claims Office, dealing with all enquiries in a sensitive and sympathetic manner.
  • To ensure the accurate tracking of medical records on Medway PAS
  • To manage all incoming and outgoing mail to ensure that systems are in place for urgent correspondence to be dealt with in a timely manner.
  • To maintain the Claims Office stationery and other supplies.
  • To maintain the Claims Office filing systems in respect of active claims, original and copy medical records.
  • To advise upon, and implement, systems to improve the efficiency of the operational running of the Claims Office.
  • To undertake any other relevant duties as required and relevant to the band.

Education & Qualifications

Essential criteria

  • Educated to a minimum of GCSE (or equivalent) English and Mathematics
  • RSA 2 (or equivalent)

Desirable criteria

  • Recognised qualification in office/secretarial skills

Knowledge, Training & Experience

Essential criteria

  • At least two years’ experience of working in a senior administrative role and working as a personal secretary at a similar level (ie at Director level)
  • Computer literate – must possess extensive knowledge of using Windows, Excel, PowerPoint, experience of PDFing documents and uploading documents on to the internet  Able to demonstrate experience of taking minutes at high
  • Able to demonstrate experience of taking minutes at high level and complex meetings
  • Previous database management experience, including the ability to extract data and produce reports
  • Experience of working as part of a team (including assisting with workload priorities across the team)
  • Able to demonstrate an understanding of confidentiality, including Data Protection and information governance
