Reception Support Supervisor – Moxy Birmingham NEC

This position is based on a full time contract.


The Reception Support Supervisor is a confident, organised and detailed orientated support for the Moxy Birmingham NEC team.


You will manage all reception aspects relating to both groups and individual reservations and will use discretion and judgement in dealing with group bookers and organisers, both on the phone and on property, including any contractual obligations and special requests.


The role will take handover of each group from the groups team to ensure a smooth transition, arrival and stay at the hotel.


The role will support with individual reservation checks as well as balancing of the system. Your focus will be to ensure that all Marriott assigned targets and tasks are monitored and completed during every shift.


Your Role:

  • Manages the operational preparation for all group bookings once the group has been handed over to the hotel.
  • Prepare for all group arrivals with relevant rooming lists, arrival envelopes and any specific information that has been requested by the client.
  • Provide clear handovers to the team for all group bookings.
  • Maintains organized, accurate files on each group account and monitors of the course of action for each account daily.
  • Completes reservation checks for all individual reservations including, updating all third-party information. Ensuring all relevant alerts and routing are created.
  • Ensure all pre-paid reservations and virtual cards have been charged.
  • Ensure pre-arrival emails are sent to relevant guests.
  • Schedule amenities as required.
  • Use Marriott Systems to ensure relevant reception tasks are reviewed and completed

Skills:

  • Exceptional communicator
  • A whizz with Opera Express
  • Hot on Microsoft Office applications particularly Excel (got to love those spreadsheets!), Word (the best for proposals!), PowerPoint (your presentations pop!) and Outlook (you use all the tools!)
  • Strong organisational skills
  • Experience with booking leisure / tour series is a big plus!

What do you know?

  • High School diploma or equivalent required
  • Preferred minimum of 2 years’ experience in hotels either Front Office, Reservations, Group or Guest facing Services
