Role objective
The Commercial Ops Manager role will primarily have ownership of the commercial functioning of the Unilever account. This vital role will work closely with the Client Lead to ensure Mindshare’s biggest account is run efficiently and effectively from a commercial compliance perspective. Establishing processes and ways of working with both clients and internal stakeholders alike to deliver best practice in commercial account management.
The role sits within the Commercial Team of the wider agency alongside the Chief Commercial Officer, Commercial Client Director, Commercial Account Manager and Legal Counsel. As well as managing the Unilever account the role will also support this team in its work across the agency. Working towards delivering growth in client revenue through construction of sound commercial agreements and contractual structures.
Key responsibilities
Unilever Contract compliance
- Monitor the ratio of media spend versus fee to flag changes and highlight necessary management of the staff plan.
- Assist Client Lead and Commercial Team in formulating annual Unilever scope of work, adhering to MSA (Master Service Agreement) tramlines.
- Manage and track all out of scope project sign offs, adhering to the Unilever process to ensure timely sign off.
- Implement Non-Disclosure Agreements for all new joiners.
- Monitor Service level deliverables (E.g. frequency of training, timely delivery of reporting document) and ensure team are delivering on these.
- Ensures Scopes Of Work are kept up to date and centrally available.
Unilever Reporting and Finance
- Working with the planning leads to ensure all media plans are updated on central systems. Building in quality control checks to flag potential errors.
- Working with trading teams to ensure all media value is recorded and highlighted to Unilever on a quarterly basis.
- Working with Finance plus, Finance and UL client team to ensure late client payment is minimised.
- Central point of contact for Finance Plus.
- Working with Unilever Client Partner, Planners and Buyers to ensure the Billing and Income files are regularly updated with the latest spend forecasts.
- Assist in the preparation of the documentation for the monthly Unilever budget signoff meeting.
- Coordinate delivery of cross channel compliance reports – e.g. level of 1PD, Performance Marketing retailer investment.
- Coordinated delivery of multi-channel non-campaign reporting – e.g. UEX reports
Unilever Process & Communication
- Ensure Timesheets across the Unilever team are up to date and flag any that aren’t to Client Partner, Commercial and Finance.
- Sets up new timesheet codes for out of scope projects
- Ensure team are aware of any new processes or deliverables (e.g. from Mindshare Worldwide / Unilever) and that relevant teams are trained on these.
- Ensures team are aware of any functional updates that come from Mindshare Worldwide / Unilever – e.g. new exchange rates, terminologies, templates etc.
Wider Commercial Team
- Drive revenue growth through out of scope remuneration proposals across relevant clients.
- Contribute to the management of the Commercial Hub, ensuring the content is accurate and up to date.
- Support the team to ensure detailed Scopes of Work are produced for every client in coordination with Client Leads and Heads of Departments and that these are stored within the Commercial Hub.
- Play a key role in the Quarterly Business Reviews across all Mindshare client accounts. Running the financial and staffing analysis and using the output to create the documents for the meeting.
